Volunteer Activities at Great Bay Masters Half-Day Meets: If you do not feel quite ready to swim at a masters meet, volunteering to help at a meet can be a great way to see what they are all about. It takes about 15 volunteers to run an excellent meet: Meets run WITH Hy-Tek software · Check-in table (three volunteers): 7:30 to 8:30 a.m. · Runner: 7:30 a.m. to 12:30 · Reader: Will read to person entering data into Hy-Tek, 7:30 to 9:00 a.m. · Head Timer: 9 a.m. to 12:30 · Timers: 5 to 12 backup timers, 9 a.m. to 12:30 Meets run WITHOUT Hy-Tek software · Check-in table (three volunteers): have people sign the waiver sheet, process meet entry fees, take and file entry cards. ·Volunteer for seeding heats: toward the end of Check-in, the heats will be seeded. A detailed instruction sheet on how to seed the events will be provided, to see it now, Click Here ·Runner: Once the meet has started, someone needs to collect the seed cards after each heat and bring them to the scorers table · Calculate official time: When there is electronic timing, the pad time is used. When there are two watch times, a volunteer will average the swimmer’s times to determine official time. (this gets slightly tricky when one watch time is just over the minute, and one is just under!) If there are three watch times, then the middle time is the official time. · During the meet Check-in an Excel spreadsheet with all the swimmers names, ages, etc., will be created. Data Entry Volunteer: will enter the swimmer's times into the spreadsheet. This volunteer should be experienced with Microsoft Excel · Head Timer: One person will be the Head Timer. This person will be an extra timer who will time each race. If a timer in any lane forgets to start the watch, the Head Timer will be called to time that lane. · Timers: We need two timers per lane. We run heats in five or six lanes, so there are 10 or 12 timers. The more non-swimming timers we have, the nicer the meet is for the swimmers (who time themselves when we don't have enough non-swimming timers).
